Introducing the NEW Blackout Dates Feature Comments Off

The new blackout dates feature is now available! iClassPro can now calculate pro-rated tuition based on your blackout dates. Here’s how it works…

How It Works

Blackout dates change the way iClassPro calculates tuition when prorating or billing hourly so that you can automatically not charge for the days that you are closed.

FOR EXAMPLE, you have a one hour Monday class and you charge $20 per hour or per class. iClassPro would count how many billable days there are within your billing cycle (The billing cycle could be a session or monthly), and then subtract the blackout dates from the billable days. Let’s say you bill monthly for this class. iClassPro would then calculates how many Monday’s there are in the current calendar month.

It would figure that there are 4 Mondays in December. So, it would charge 4 x 20 and calculate a total tuition of $80. Now let’s say you have a blackout date of December 26th which happens to be on a Monday. This makes only 3 billable Mondays in December. The calculation would then be 3 x 20 = $60.

 

Setting Up Blackout Dates

Complete the following steps below to setup blackout dates on your classes.

Create a Blackout Schedule

  1. First, you enter the dates you are closed in a “Blackout Schedule” in your iClassPro Settings. This is under Settings>Setup>Class Settingsscreenshot.png
  2. Click the create new button to create a new blackout schedule.

  3. On the right side of the window, choose dates or a date range and click the add button to add dates to your blackout schedule. Your dates show in the list on the left of the window.

  4. Be sure to click Save when finished.

Attach to Applicable Programs

Before your blackout schedules are used, you must attach the schedule to the program(s) that it applies to. All you need to do for this is edit the programs under your settings.

  1. Edit programs under Settings>Setup>General Settings.

  2. Double-click each program to edit it.

  3. In the edit/view program window, select your blackout schedule from the drop down menu.

  4. Be sure to click save.

Testing The Settings

 Enroll a test student to test your settings. When creating a charge, you should see now that the calculated tuition is taking blackout dates into account.

TIP: You can see exactly how iClassPro calculates the tuition from the Global Tuition Charges. Just click on the amount in the preview and you’ll see a window outlining the tuition calculation as seen below.

New Multi-Select Filters On Classes Page Comments Off

We love getting feedback from you, and one of our most requested features has finally come to life! 

iClassPro has added multi-select filters for Level, Days, and Age Range. These filters were put in place to make it easier when enrolling multiple students at the same time. We hope you like the enhancement!

New Multi-Select Filters On The Classes Page:

There are now multi-select filters for the level, days, and age-range filters. See image below.

Using the new filters are just as easy as before:

  • Just click on a level, day, or age range to apply that filter to the list of results.
  • If you want to select multiple filter options, just hold down the CTRL (COMMAND button on Mac) button while clicking on multiple levels, days, or age-ranges.
  • You will see each selected value be highlighted when the filter is applied.

TIP: You can use the Reset Filters button to quickly deselect all filters.

Important Changes To Staff Permissions Comments Off

In an effort to enhance the staff permissions and in order to address a problem where some users have accidentally deleted records, new staff permissions have gone into affect today.

The Following Permissions Were Added:

  • Delete Family
  • Delete Student
  • Delete Class
  • Delete Charge
  • Delete Camp
  • Delete Staff

By default, only administrator users will have access to those permissions. If any staff members need to be able to perform any of those tasks, they will need to have the permission enabled on their staff record.

Many More Enhancements and Fixes Comments Off

Over the past couple weeks, we have released quite a bit of enhancements and fixes. We hope that you all are noticing the improvements! And, as always, we encourage your feedback.

IMPORTANT NOTE: Some updates may require you to clear your browser’s recent history. This can be done from the tools menu in most browsers or by pressing CTRL+ALT+DEL in the browser. Be sure to clear the ‘cache’ and ‘cookies.’

 

New Stuff:

  • Added keyword filter to category list report.
  • Added level filter to the customer class list report.
  • Added signature line to both policy reports.
  • Many more speed tweaks/enhancements.
  • Major speed and stability enhancements to the list page text searches.
  • Added default enrollment addendum to the settings for enrollment emails. Settings>Setup>Family Settings>Enrollment Emails.
  • Added security header option for NACHA files to be compatible with more banks.
  • Added the ability to select multiple charge categories on the late fees task on the transactions page.
  • Added Save and Charge option on new enrollments.
  • Added start and end date filter to Families With Credit Balances report.
  • Added automatic enrollment emails for new camp enrollments.
  • Added attendance reports: Roll Not Taken Report, Absences Report under Reports>Classes.

 

Fixed Stuff:

  • Anniversary fee amount now fills in when adding an anniversary type line item.
  • Multiple fixes for the black out schedule feature.
  • Fixed links on calendar page. They were not working in IE.
  • Fixed issue where the templates settings were not working in chrome or safari browsers.
  • Fixed the date formatting and override tuition display issues on the enrollments list.
  • Drop notes can now be viewed from the enrollment window under the notes tab.
  • Modified error message for conflicting enrollments to be more informative to the user.
  • Fixed error where it displays the first name twice in the family info box.
  • Fix for emailing from the class page when there is a session selected in the session filter.
  • Fixed currency symbol in some reports to match business settings.
  • Fix for age filter ’6-8′ on the classes page.

Many Great Enhancements and Bug Fixes This Week Comments Off

This week we made many enhancements and bug fixes including a large amount of speed tweaks. Most users should notice a considerable speed improvement.

NOTE: In order to make sure you are receiving all our updates, it’s important that you clear your recent history.


New Stuff:

  • The session filter on the classes page is now sorted by Current/Future sessions and Past Sessions.
  • Parents now have the ability to generate a statement from the ledger in the parent portal. (The setting must be enabled in parent portal settings.)
  • A class keyword filter has been added to the classes page.
  • Added autopay type filter on families page.
  • Added print icon in families window for the policies to make it easier to print policies.
  • Redesigned the error dialog window. It now allows user feedback so that you can describe the problem before submitting an error report.
  • Added column for due date to the full ledger in the parent portal.
  • Made any enrollments with an overridden tuition amount show in bold and red when viewing enrollments from the family or student page.
  • Added level filter to the class list report.
  • Added family phone number to the automatic email notification of online registrations that is sent to the gym.
  • Added toggle when viewing/editing camp enrollments. Now you can view either selected blocks or all camp blocks making it easier to see the enrolled blocks.


Fixed Stuff:

  • Made the correct currency symbol show on the families and students list pages.
  • Added test for case where session end date is before the session start date.
  • Fixed colors for IE9 and IE8 on new enrollment view on families and students page.
  • Fixed issue changing drop date when approving drop requests.
  • Fixed where the day of week selectors on a new camp enrollment were always greyed out.
  • Fixed issue where an error was caused if a student had no birthday saved.

Enrollments View Improved On Families And Students Page Comments Off

In an effort to make viewing enrollments for families/students quicker and easier, we’ve enhanced the enrollments view. See the example below.

 

Changes Include:

  • The speed of viewing enrollments per family or student has been considerably improved.
  • Color codes to quickly identify trial, make-up, and wait list enrollments. (Green=Active, Yellow=Wait, Orange=Trial/Makeup, Red=Unapproved Class Request)
  • All enrollments for a family are listed together instead of separated by students thus making it easier to see total price for all enrollments and class schedule for all students.
  • The filters for viewing enrollments have changed. Filters include status (past, present, etc.), class/camp enrollment filter, student filter (if being viewed from family page), and enrollment type filter (active, trial, makeup, etc.) This gives more flexibility when trying to view a list of specific enrollments per student or per family.
    • EXAMPLE: Select the Status:ALL, and Type: MAKEUP allows you to see all the makeup enrollments for a specific family or student.
  • If ‘New Class Enrollment’ is clicked on the family page, a student must be selected (if the family has more than one student).
    • TIP: After clicking the ‘New Class Enrollment’ button, you can double-click on a student name to create an enrollment for that student.

A Few Enhancements and Bug Fixes Comments Off

Here are the enhancements and bug fixes that have been made so far this week.

 

New Stuff

  • Multiple tweaks have been made to improve page load speeds.
  • Trial and Makeup students are now marked with a special icon on the mobile attendance module similar to the roll sheet report.
  • A warning message will be displayed before logging in if you are using an incompatible or out-dated browser.

 

Fixed Stuff

 

  • Fixed problem where filters would break/change on the class list page if you did a search in the group enrollments window.
  • Fixed problem where a credit card payment made via the parent portal would incorrectly show as echeck.
  • Fixed problem where parent portal sometimes did not allow the user to change their state in the address.
  • Fixed problem where some financial reports were not showing non-class programs as a filter option.
  • Notes now default to OPEN instead of saying CHOOSE.
  • Internet Explorer now correctly sets session dates when enrolling in a session class.
  • Fixed new enrollment window from displaying a warning when the student gender is unknown and the class is co-ed.
  • Family info in full ledger now shows primary and alternate phone number instead of just primary phone number.

Introducing the NEW Mobile Attendance Module (beta) Comments Off

The new attendance module is now available for quick and easy access to attendance and class rosters from any device.

Access The NEW Attendance Page

The attendance login page can be accessed from almost any web-capable device including iPads, iPhones, any computer, and much more!

How to access the login page

Copy and paste the URL below. Be sure to replace [YOUR_ACCOUNT_NAME] with your iClassPro account name.

https://www.iclassprov2.com/icpv2/attendance/[YOUR_ACCOUNT_NAME]

Login with your iClassPro Username and Password. Any Staff member in iClassPro that has a username and password should be able to login here.

NOTE: Click/Tap the stay logged in button. This will keep you logged in on that device until you logout.

 

Marking Attendance

Once logged in, you will see the class schedule like the example below.

  • Only the classes you are an instructor for will show if you login as an instructor unless you login as an admin user. 
  • There is also a user permission to be able to see all classes if you are not an admin user.
  • By default, today’s classes will pull up. For example, if the current day is Friday, you will only see Friday classes sorted by time.
  • Attendance marked is immediately saved. You do not have to click a save button.

Click/Tap the P or A icon to mark all present or all absent. Click the bubble to the left of each student to mark either present or absent.

NOTE: The attendance is saved automatically. There is NOT a save button.
