Now Reports Can Be Generated in CSV! Comments Off

We have recently added the ability for common reports to be generated in CSV. CSV is a simpler format that can be opened in any spreadsheet application like Microsoft Excel or OpenOffice Spreadsheet.

It can be easier to work with a CSV formatted file than XLS format because it includes no formatting. Here is how to generate a report in CSV.

  1. Find the report on the Reports page, fill out the filters, and click Viewable HTML.
  2. Click the “CSV” button at the top, next to “PDF”, and “XLS”, to begin the generation of the CSV version.

  3. You will then be redirected to the reports page, and the background tasks window will pop up showing you the status of generating the CSV version of the report. After the generation is finish, simply click the down arrow next to the background task as shown below.

Announcing Audit Log Enhancements Comments Off

iClassPro has an audit log feature that tracks all activity in the account done by each user. 

Fixes and Enhancements:

  • Improved Speed of Audit Log
  • Added Additional Permission Requirements
  • Added Search Filters

To access the audit log, go to settings at the top right, then go to the audit log section on the left. (see screenshot below)

NOTE: Only staff members that are part of the admin user group have access to the audit log.

Username Search

You can use the username search to find all actions by a particular user by typing in their name or username here.

Action Search

You can search for specific actions by typing in a keyword, for example “login” or “delete enrollment”, which would return all audit log entries for every login or for every enrollment deleted.  Also, try searching for a specific family to find all activity on that family.

Introducing Free MailChimp Integration Comments Off

iClassPro is happy to announce its new, free integration with MailChimp.

MailChimp helps you design professional emails, share them on social networks, and track results of your emails. 

With the new integration, iClassPro can sync an email list in MailChimp with the following family information: email address, first name, last name, gym location, phone, and address.

Getting Started

Sign Up For A Free* MailChimp Account

  1. Go to www.MailChimp.com and click the “Sign Up Free” button, and complete the required fields to signup.

  2. You will receive an email to activate the account. Follow the link in the email.
  3. After you activate the account, follow the steps on MailChimp to complete setting up your account.

  4. Once your account is setup, you are ready to integrate that account with iClassPro.

Integrate Your New MailChimp Account With iClassPro

Integrating your MailChimp account is easy! Just generate an API Key from MailChimp, and copy & paste that into your iClassPro settings.

  1. While logged in MailChimp, go to the account menu and click “API Keys & Info”

  2. On the API Keys and Info page, click the blue “add a key” button. A key will be generated and displayed on that page.
  3. Copy the entire key as you will need to paste this in iClassPro.
  4. While logged into iClassPro as an admin user, click the settings link at the top right.

  5. Click the setup section on the left side of the page, click the down arrow for General Settings, then click the pencil to Configure MailChimp

  6. In the MailChimp window, simply paste in your API Key, and click save.
  7. That’s It! 

Create A Mailing List

First, create a mailing list in MailChimp for iClassPro to sync with. Creating a mailing list is easy!

  1. Go to the lists menu in MailChimp.
  2. Click the “Create list” button and follow the steps.

Sync a list from iClassPro

In iClassPro, you can select a group of families to sync information into your MailChimp Mailing List. This can be done from the family page, student page, or staff page.

  1. While logged in iClassPro, go to the family, student, or staff page.
  2. Use the filters on the left side of any of those list pages to select the group you want to sync.
  3. After filtering, click the check all box to select all the records.
  4. You will see a new icon at the bottom of the page in iClassPro. Click the MailChimp icon.

  5. Select the list you created from the drop down menu. Click the save button to start the sync.

  6. After a family is added to your list, the recipient will have to confirm their subscription before receiving emails. They will receive a confirmation email to confirm their subscription.
  7. You are ready to send an email campaign to your list!

Create a Campaign

Once you have an email list, you can create a campaign to send to that list! 

  1. Click the campaigns menu.
  2. Click the “Create Campaign” button and follow the step-by-step directions.

  4. After you create a campaign and send it, you can sit back and watch your stats!

Roll Sheet Labels Report Available! Comments Off

The report titled “Roll Sheet Labels” (CLA-10), from V1, is now available in V2. The report allows you to create and/or print labels for students enrolled in your classes. You could then use these labels for name tags, or however you see fit best to use them.

You can then use the filters on this report to select the class, program, session for the classes that you want to show. A preview of the label that it prints is below:

New Calendar Button! Comments Off

iClassPro has added a new calendar button to the classes page!

By clicking on the calendar button, you are able to view the month schedule of that class including all openings as well as active, makeup and trial enrollments on those dates. This allows you to easily view class openings in the future and schedule future enrollments.

New Marketing Report Available! Comments Off

A report titled “How You Heard Summary Report” or MAR-1 is now available under the Marketing section for V2.  This report is useful for viewing the effects of new marketing efforts for your facility.

The report breaks down the total number of members joining within the specified time period by how they heard about your facility. Below is an example of this report.

As you can see, within the specified time period of this report, four families have joined this organization. Two families heard about this facility via email, one via Google, and one via their webpage.


Note: The categories listed in the report were established by the organization through their settings, in the setup section under the drop down menu for family settings.

Camp Reports Now Available Comments Off

We are happy to announce we recently added camp reports. 

Below is a list of the added reports with a brief description.

Camp list Report

The camp list report can provide a summary of upcoming camps. This report includes the camp name, program, gender, camp dates, registration dates, allow web registration status, amount due at signup, total enrollments, and the pricing schedule of the camp. In addition, the summary at the bottom of the report gives you the total camp enrollments and the average camp size.

Camp Enrollments Report

This report gives you a list of enrollments for each camp with the total amount charged and amount paid for each enrollment, and the total charged and total paid for the entire camp.

Camp Blocks Report

The camp blocks report is similar to the roll sheet report for classes. This gives you a list of students enrolled for each camp, and the columns show which blocks of camp each student is enrolled into. The dates that you select when running this report determine which camps and which camp blocks print into the columns.

Camp Sign In/Sign Out Report

This report gives you a list of students enrolled in camp for a specific day with a place for the guardian to sign or initial to check a student in or out. You have the option of pre-filling the guardian and phone number fields with the information from the student’s family or leaving them blank to be filled in at the time of signing in or out.
