General Questions



  • What are my system requirements to use iClassPro?

    iClassPro is a web-based software that is easily accessible on a PC or Mac computer with an internet connection (high-speed preferred). No complicated downloads or discs required! Recommended browsers include Google Chrome or Mozilla Firefox.

  • What are the minimum internet requirements to operate iClassPro?

    Speed and Connection Requirements:

    Due to the amount of information shared when you save and access a large database like iClassPro, you must have a reliable internet connection to operate efficiently. Wired connections are best when using the full application.


    We highly recommend a minimum 3 MB download speed and 1 MB upload speed. Test your current connection speed here.


    A reliable wireless connection can be used successfully for accessing smaller portions of the application, such as the customer portal and mobile attendance app.

  • What are the refund, cancellation and other policies for iClassPro?

    Refund Policy:

    As a general rule, iClasspro does not offer refunds. Subscription fees are paid to maintain access to the software and are not based on the usage of the software.


    First Billing Policy. During the 30-day free trial you are not required to store payment information on file. If you choose to do so and change your mind about subscribing to the software, you must contact iClassPro before the end of your trial to cancel your account and we will stop billing.


    Subscription Policy. The iClassPro subscription fee covers the 30 days of account access following your charge date. If you cancel midway through this period, we do not prorate for partial months. At the time of cancelation, you can choose to keep your access to our database for the full prepaid period or have the account shut down immediately with no refund or proration of charges.


    Cancellation Policy for Trials

    Contact iClassPro by phone to cancel before the end of your 30-day free trial and you won't be billed. Since iClassPro does not require payment information to sign up for a free trial of the software, trial cancellation is worry free! 


    If you do choose to place payment information on file during your free trial, payment will be collected automatically on your first billing date. 


    Trial accounts without payment information on file on their first bill date will automatically suspend.  


    Cancellation Policy for Subscribers/Paid Accounts

    If you have paid for one or more months of iClassPro, you must contact support by phone to cancel your account. A representative will ask a few security questions and discuss the implications of your cancellation.


    Before cancelling, we always recommend printing out any required attendance, financial or enrollment history. Once an account is cancelled, we only hold on to the active account information for 60 days. Since iClassPro bills monthly in advance for the following 30 days of access, it is helpful to plan your cancellation on a weekday just before your bill date. This will ensure that you have access to the software as far in advance as you have paid.


    As a rule, iClassPro does not prorate fees for our subscription services.

  • What is considered to be a location?

    Locations in iClassPro represent distinct physical locations or segments of your business that require the use of separate class and camp lists for registration online.

     


    The iClassPro subscription fee is charged per location with unlimited families, students, classes, camps, enrollment history and more! Locations within the same iClassPro account share a list of families and students, their parent portal logins and ledgers, staff members and settings- including gateway accounts. 


    For businesses which require multiple accounts (to utilize separate gateways and deposits, ledgers, customer lists, etc. for portions of thier business), we recommend creating separate free trial accounts online and then contacting support to get mulitple location billing applied to those accounts.

  • How does the iClassPro free trial work?

    iClassPro offers a 30-day free trial to new customers.

    This time is intended to give you the opportunity to set up your account and get familiar with our tools and features.  The free trial is the full working version of iClassPro's original application for booking classes and camps. During your free trial we recommend diving into the Getting Started videos.


    We also offer free phone support and online meetings with our support staff to help you get started! Our staff is trained to listen to your business model and make recommendations for your iClassPro setup. They are happy to answer your questions and point you in the right direction.

  • Can you import data from my previous software?

    As a part of the free trial, we also offer free data imports!

    The amount of data we can import varies from software to software. At a minimum, we can help import basic family and student information (names, emails, phone numbers, etc.) as well as account balances. Imports typically take from 1 - 3 business days, depending on the quality of the data provided to our team.

  • What are my support options?

  • What’s the fastest way to get up and running?

    Jump in head first.

    Setting up your account might take a few days of intense work, depending on how much data we can import for you (that's why we give you 30 days for free). But trust us-- it's worth it. If you want to skip straight to the essentials, visit our New User section!


Financial Questions


  • What are the fees associated with using iClassPro?

    Standard Subscription Fee:

    iClassPro charges a flat monthly rate of $129 per month/per location for access to the main application.


    Additional (Optional) Fees:

    Processing online payments for US iClassPro accounts requires the use of iClassPro Payment Services gateway; however, some international iClassPro accounts may require a gateway integration and merchant account, each of which may charge their own subscription and/or processing fees.

    The optional SMS and Voice Broadcasting features are available to U.S. and Canadian customers at an additional rate of $0.03 per credit.  Australian users have access to the SMS broadcast feature at a slightly higher cost. One credit is required to send a single message to a single recipient.

  • What exactly is a gateway and why do I need one?

    A gateway is required to allow customers to pay online with iClassPro or store credit card and e-Check information.


    Gateways validate credit card and e-Check transactions before they are submitted to a merchant account. That means that before anyone starts moving actual money around, it's the gateway's job to look for potential fraudulent charges or inaccurate payment information. If the gateway says a payment doesn't look right, iClassPro won't allow the payment to be recorded on the family ledger. Instead, it will give you an error message.


    In the past, we undertook the task of integrating with several gateways and found that one of the biggest complaints with new and existing customers was that they had trouble setting up and getting knowledgeable support for their third party payment processing. That spurred us to open up our own payment processing services to create a better experience for our customers.   • Do I need any special equipment to process credit cards?

    Credit Card Swipers:


    iClassPro will integrate with a USB Credit Card Swiper that has Keyboard Emulation Mode (KEM) capabilities using a Card Present gateway account. Please note that this does NOT include transactions processed with new chip or EMV technology. If you choose not to use a credit card swiper, you can manually enter card information using a Card Not Present gateway account. 


    Transactions which take place in a separate merchant terminal supplied or purchased through your merchant services provider cannot be directly integrated with iClassPro because they do not use a gateway. However, these transactions may be recorded as External Credit Card payments in iClassPro without any transaction or card information. This is also the case if you purchase a terminal through iClassPro Payment Services.


    Printing Receipts from iClassPro:

    iClassPro will use the printer set up as the default printer in your web browser to print receipts. This can be any type of printer, set to your preferred printing options. To save paper, you can also email receipts to the primary email address on customer accounts!


Security Questions


  • What steps does iClassPro take to secure my data?

    At iClassPro, we take security very seriously.

    With cloud computing, you can rest assured that in the case of systems failure, natural disaster, or even theft of your personal equipment… your data is safe and can be accessed through our servers from any computer with your login information.  


    Our data center is a fully certified, managed facility with 24x7x365 monitoring and maintenance.  Certifications include ISO 27001, PCI Level 1, SAE16, Tier III standards compliant and other local certifications and compliance measures.


    iClassPro uses redundant systems to ensure access to the application and your data.  Intrusion prevention and detection, DDoS protection, bot mitagation and other protections keep the bad guys at bay.


    Your data is mirrored on multiple servers and archival backups are made on a nightly basis to multiple geographic locations. 


    We have strict access control to all of our application and database servers.


    An extended validation SSL certificate and https protocol are used for access to all iClassPro application pages- meaning all data is encrypted before being transmitted across the Internet.


    Each iClassPro account is assigned its own distinct database with its own passwords to prevent data access by other users.

  • What steps can I take to make sure my data stays secure?

    Information security on an individual business level is always important.

    Never share your password or stay logged in on a public or multi-person access terminal.


    At iClassPro, we offer unlimited, concurrent user logins to support your business security. You should always have direct control over who has access to your customer information, financials and communication tools. You can maintain that control by creating a unique staff member, along with a unique username and password for each staff member with access to the system. Then assign each user a set of permissions through User Groups (general job level permissions) and Advanced Permissions (singular additions to access level).


    Each user's actions are then tracked in the audit log for accountability. Even if you reach out to one of our support members for help and they log into your account, their personal information is recorded in the audit log along with any actions they take.

  • How can I verify the security of the portal for my payment processors?

    iClassPro’s parent portal uses SSL encryption for all sensitive information, including any payment pages.


    Any information being sent through the parent portal is encrypted before being transferred across the internet. You can verify this by looking for the HTTPS signifier and the secure lock icon in front of the URL on these pages.


    Some payment processors may request to see the customer portal pages for themselves. To do this, your payment processor will need to be given family login information. The shopping cart functionalities and the Payments section are the areas where customers interact with financial information.

  • Do you release any of my information to a third party?

    Sharing Information with Strategic Partners

    From time to time, we may enter into strategic marketing alliances or partnerships with third parties who may be given access to personal information including your name, address, telephone number and email for the purpose of providing you information regarding products and services that we think will be of interest to you. In connection with strategic marketing alliances or partnerships, we will retain all ownership rights to the information, and we will not share information regarding your social security number or other personal financial data.


    Notice of New Services and Changes

    Occasionally, we may also use the information we collect to notify you about important changes to our own web site, new services and special offers we think you will find valuable. As our client, you will be given the opportunity to notify us of your desire not to receive these offers by clicking on a response box when you receive such an offer or by sending us an email request at support@iclasspro.com.
